Practical details
for thesis re-registration

The doctoral student must:

  • complete the pedagogical re-enrolment process online in his or her personal ADUM space (do not generate the doctoral re-enrolment form or have it signed, everything is done online in dematerialized mode),
  • have been received by the individual Thesis Follow-up Committee set up in the doctoral student's host laboratory,

Based on the reports of the Thesis Follow-up Committees, the ED Director will receive the doctoral student for his or her re-enrolment request.

Re-enrolling in a doctoral programThe

conditions for enrolling in a doctoral program are defined in article 11 of the decree of May 25, 2016.
In view of the duration of the funding granted, the thesis takes place, in principle, over 3 years.

Re-enrolment in the 2nd and 3rd year of a thesis is granted by the head of the establishment on the recommendation of the ED director, following a favorable opinion from the doctoral student's individual monitoring committee, which ensures that the thesis work is progressing smoothly. Particular attention is paid to doctoral students enrolling in 3rd year to ensure that the end of their thesis runs smoothly, and to remind them of the prerequisites and deadlines to be met for the defense, in order to limit excessive and unjustified thesis durations.

Following the decision of the University's Board of Directors on 10/23/2012, doctoral students in the final year of their thesis are exempt from enrolling in 4th year if their defense is scheduled before December 20 of the current year.

Enrolment in the 4th year of the thesis is by way of derogation. It is granted by the head of the institution on the recommendation of the ED director, following a favorable opinion from the doctoral student's individual monitoring committee and the ED council. The doctoral student must submit an application file containing the following information: a letter from the thesis director justifying the request for registration, a thesis completion plan, and funding (article 7 of the internal regulations) to support the doctoral student until the defense. The application must be submitted by the doctoral student via his/her personal ADUM account before the end of September, for validation by the ED Board at its autumn session. For doctoral students who began their thesis during the first semester of the calendar year, and whose funding runs beyond the calendar year of their 3rd year of enrolment, enrolment in the 4th year of their thesis is validated unconditionally. They must defend their thesis before the end of their funding contract, or provide proof of funding until the defense.

5th year registration (and beyond) is granted only in exceptional circumstances by the head of the establishment, and is subject to special justification (e.g. full-time salaried doctoral student, sick leave, parental leave, etc.). In addition to these supporting documents, the application file must include the following: a letter from the thesis director endorsed by the unit director, an opinion from the Doctoral School director validated by its board, a thesis completion plan, and funding to support the doctoral student until his/her thesis defense.

In the event of non-renewal of registration, the ED director sends a registered letter with acknowledgement of receipt (RAR) to the doctoral student, stating his or her refusal to renew and the reasons for this decision. The doctoral student may request a second opinion from the research commission of the institution concerned within one month.
